The post will be working in London with the potential to working remote, on an interim basis for 3 months, at an hourly rate £26.02, inside IR35 (through an umbrella solution company).
The post holder will have responsibility for specific key projects/tasks and will be required to act on their own initiative to see them through to a timely conclusion.
Main Responsibilities:
Provide a full PA service to the relevant team members including dealing with correspondence, facsimiles, telephone calls and enquiries, creating first draft responses to correspondence on behalf of the Division;Quickly and accurately solve a range of issues raised via telephone and verbal messages from internal and external sources on behalf of the Division;Manage incoming and outgoing mail (and if required, email) and delegate items, liaising with relevant senior modality managers;Support submission of month end documentation and statistics as required and agreed with the finance department;Maintain an efficient diary system for the Directorate clinical lead and Imaging manager, ensuring relevant papers are brought forward for their meetings and commitments;Maintain and review an efficient filing, bring forward and pending system, and establish any other necessary procedures to support the work of the Directorate liaising with the divisional team;Create and critique documents, spreadsheets, and reports, offering suggestions as requested by the Directorate manager;Support the analysis of Month end data and IT data analysis to support service delivery as required by the management team in radiology;Support the Governance and audit processes analysing and utilising data from the radiology and organisation IT systems as required;Maintain a working knowledge of other directorate secretary and be able to provide cross cover within the team as the needs of the service may require;Oversee the day-to-day coordination of administration staff and services within the Division;Have an in-depth understanding of the workload of, and initiatives within, the relevant Directorate management team in order to contribute to major projects;Meet with the Clinical lead and radiology managers on a regular basis and assist in prioritising the workloads and key tasks as well as raising any areas for joint discussion.A successful candidate will have:
Must have experience within the NHS/a healthcare setting; Advanced administration and customer service skills/experience;Minute taking and diary management;Experienced working as a PA/EA within a healthcare setting;Excellent organisational and communication skills.
